Providing the proper permissions to the right people is always tricky because of many different aspects and operations. Should this role access that type of content and its content groups? And should that role be allowed to edit this content? This lesson will show you what Kontent.ai can restrict and where you can set up the permissions for your content groups.
Find balance in permissions
There are many ways to look at permissions. You can choose the more secure but less transparent model, where users can access and edit only what they need to do. Alternatively, you can choose a more relaxed setup, where users can generally access and edit more content than they need, but they can also discover more context. Both approaches are somewhat extreme decisions, and the reality will be somewhere in between. However, you won’t likely want to let all users do all actions. Editing and removing content and managing the whole Kontent.ai configuration can cause irreversible damage to your content, so it's worth setting up permissions properly for your organization.
How to configure permissions in Kontent.ai?
This video by Maarten van der Hooven, our Presales Engineer, will show you how to configure content groups and role permissions.
You have now defined your roles and permissions suitable for your project and ensured your users will work with content relevant to them. By that, you did the first step to successful team collaboration. Before creating the roles in Kontent.ai, think if the new setup still makes sense for all existing roles. Then, you can dive deep into configuring permissions for workflows.
Decide what workflows you need
Different kinds of content may require different steps to go through in their workflow. For instance, legal content needs a more thorough review process than blog posts. When setting up workflows for your organization, we recommend you think through establishing roles for your users and then use those roles to set up workflows for effective content strategy.
