Send your content to review
Once you’ve revised your draft and are happy with it, it’s time to send it to review. We’ll walk you through the process of changing a workflow step while also explaining who gets notified about this change.Before we get into that, let’s take a moment here to explain how the workflow works. In general, workflow indicates in which state the content is at the moment and thus helps you keep track of your content creation process. Workflow usually starts with the content being drafted and ends with its publishing.It’s basically a variety of tasks that your team needs to complete for a given piece of content. This then translates in Kontent.ai to a set of workflow steps. Depending on how your project admins set up the workflow, you might only be allowed to work with a subset of the workflow steps.
Communicate the changes to others
When you make changes to your content items, it’s recommended to keep your colleagues in the loop and inform them of these changes. Here are a few more tips to make your experience with Kontent.ai even better.
Compare the changes and restore older content
Sometimes you might need to check the changes you made or restore accidentally updated content to its original state. To do that, click More actions in the upper right corner of your item and select Version history. You can now compare the differences between versions in the highlighted sections.
Preview your content before publishing
So, you’ve composed your content draft, skillfully including not just text, but also media assets, and linked items. Naturally, this could leave you feeling a bit curious, pondering how your content will appear when you finally get to publish it. You might also want to ensure that your content is displayed properly without broken links, and check if you need to add more information. For example, while previewing your content, you might discover that a caption is needed to describe your image asset.Well, ponder no more, as you can always preview your well-crafted content directly in Kontent.ai before it goes live.The options available for previewing your content might vary based on your project’s setup. You can preview your content in two ways:
Once you assign a contributor to a content item, this person gets notified by email about the upcoming due date and when the workflow step changes, provided they have the notifications set up.
To send a direct link to a specific content item to your colleague, go to More actions > Share. Here, you can choose whether you want to send the link to a content item inside Kontent.ai, or to the preview version of this item on your website. You’ll only see the preview link if your project has a preview set up.
Notes can help provide a quick message you’d like to share. However, remember that Kontent.ai doesn’t keep the notes history. If it’s an assignment you’re addressing to a specific person, it’s better to create a task instead. Or, if it’s related to the whole team, you can start a discussion under More actions > Show discussion.
