Create effective review guidelines
The AI-powered content reviews are only as good as the review guidelines you provide. Without proper review guidelines, the AI might give you review suggestions that are vague, inaccurate, or contradictory to one another. Here are a few tips for crafting effective review guidelines.
You can also provide your instructions in languages other than English.
Set up review guidelines
AI-accelerated content reviews work on a per-element basis. This means you need to specify content review guidelines for specific textual elements. By default, your textual elements don’t use any review guidelines. For best results, use context-specific review guidelines for your elements instead of single review guidelines for everything. That way you always check for the right things.Get started by configuring an element to use the predefined example review guidelines:
In Content model, open a content type for editing.
For a rich text or text element, click its .
In Content review guidelines, click the input field.
Select the predefined Example of general style guide.
Click Savechanges.
Now you can review the element’s content with a click of a button. Use the same approach for textual elements.Feel free to adjust the predefined Example of general style guide to fit your business writing style or create your own.
Check your content against its guidelines
Once you set up content review guidelines for your elements, you can review an element’s content by clicking .During the review, the AI adds comments and suggestions to your content. Each comment explains the reason behind flagging the specific part of your content, and each suggestion provides a possible fix for the issue.
Considerations
When reviewing your content with AI, keep in mind the following:
The reviews work only for textual elements in content items, not components.
The review is one level deep. If your rich text elements contain components or content items, this inserted content won’t be reviewed as part of the rich text element review.
Responses are in English. You can review content in languages other than English, but the AI only provides comments in English. For example, if your content review guidelines are in Dutch and you use them to review Dutch content, the AI assistant’s reasoning will be in English, but its suggestions will be in Dutch.
The reviewed content element must contain 10 words or more.
In certain cases, you might need to review content with AI repeatedly to ensure it passes all the checks defined in your content review guidelines.
Make sure your rule descriptions are explicit and leave little to no room for interpretation. Imagine you give the review guidelines to your new colleague as part of their onboarding. They need to understand the rule the way you intended. If your review guidelines contain many rules, ensure that following one rule doesn’t lead to a violation of another rule.
Creating great review guidelines is an iterative effort. Adjust them over time based on your content creator’s feedback. You might find that some rules can be more explicit or use better examples. It can feel similar to tweaking an AI prompt until it does just what you need on the first try.
The content review guidelines must be in plaintext, but that doesn’t mean they should be without structure. We recommend structuring your guidelines with headings, paragraphs, and lists. This means using a markup language, such as Markdown, AsciiDoc, or ReStructuredText, to make the guidelines clearer for the AI assistant to understand and interpret.
Explain what it looks like when a rule is followed and when it’s broken. What’s correct? What’s incorrect? Don’t be afraid to state the obvious and provide multiple examples. By adding examples for each rule, the content reviews become more accurate and leave less room for error. For example, let’s say you have a rule about directness that aims to avoid using words like “please”.
When selecting content review guidelines, you can also choose to create new guidelines or edit existing ones using .
After you start the review, the AI analyses the element and its compliance with its review guidelines.
If you're satisfied with the suggested revision, you can apply the suggestion using . If the suggestion doesn't fit, you can resolve the comment or give us feedback.
